Registrar

Role type: Non-Committee role Non-committee roles provide additional support to the club committee and reports and works closely with a committee member.

Peak period: Predominantly pre-season & occasional throughout the softball season.

Objectives

The role of the Registrar is to 

  • oversee and be responsible for the club’s player registration processes, ensuring players are signed up, financial, and meet other obligations to commence the season

  • provide support for sign-up days, and 

  • ensure the proper recording of individual’s details.

Responsibilities

Sutherland Softball Club’s Registrar: 

  • provides support to Senior and Junior Coordinators and Team Managers to ensure players are registered for the season

  • maintains team lists, and

  • has knowledge of (or ability to acquire) age and division rules for Softball, to ensure players are registered accurately, and (when required) can move between teams in accordance with the rules.

Relationships

  • Executive connection

    • Reports to the Secretary

  • Supports all committee roles, in particular:

    • Senior and Junior Coordinators

    • Team Managers, and

    • Database Administrator

Accountability

  • The REGISTRAR 

    • familiarises themselves with player registration policies and rules

    • supports players and new players with their registration processes

    • follows up with individuals to ensure accurate information, as needed.

Communications Manager

Role type: Non-Committee role. Non-committee roles provide additional support to the club committee and reports and works closely with a committee member.

Peak period: Estimate 1-2 hours per week, predominantly pre-season & throughout the softball season.

Objectives

Communications & Marketing oversee the implementation of Sutherland Softball Club’s Marketing Plan to

  • Provides content for and guidance on communication methods and marketing opportunities 

  • ensure alignment of consistency of information, and

  • support the committee to grow the club

Responsibilities

Sutherland Softball Club’s Communications & Marketing person

  • develops and maintains the club’s communication and manages the ongoing administration

  • develops the club marketing plan & plans the marketing budget

  • liaises with stakeholders to ensure communications reflect current opinions of the club

  • provides coordination of

    • maintaining the club’s website

    • social media activities

    • flyers/mailouts 

    • and any other form of communications

  • Organises

    • Photography &/or local media, when required

    • Content for a range of events and opportunities such as: informative articles, current new, events, results, appointments, &/or fundraising activities, as required

    • Marketing material for recruitment activities

Relationships

  • Executive connection

    • Reports to the Secretary

    • Supports the remainder of the Executive Committee as required

  • Support to General Committee and non-committee roles including

    • Senior & Junior Coordinators

    • Registrar

    • Social Media / Website, and

    • Fundraising assistants

Accountability

  • The COMMUNICATIONS MANAGER

    • Reports on any aspect of communication and marketing operations to the committee when requested

    • Ensures articles and photographs comply with federal and state legislation in regards to privacy, gender, race and religious regulations

    • Seeks ratification from the secretary prior to committing to any financial expenditure or action.
